They emphasize that practice owners should regularly ask themselves critical financial questions, such as, “How much am I getting paid per visit per CPT? How quickly am I getting paid?” These queries are essential in connecting billing practices to overall financial health.

The discussion moves to the complexities of billing, which are often misunderstood. Motaz advises that relying on a single biller is risky and insufficient for navigating the intricate world of billing, insurance policies, and revenue cycle management. “I don’t think it’s a one-person job anymore; it needs a system and process,” he notes. He encourages owners to consider the liabilities involved in depending on one individual for such crucial tasks.

Outsourcing: The Clear Advantage

Transitioning to outsourcing billing is another key topic. Motaz acknowledges that skepticism is common among practice owners, often stemming from negative past experiences with billing companies. However, he reassures that not all billing companies are created equal. The difference lies in how they approach billing beyond mere claim submission.

Motaz states, “Your job as an owner is to vet a good billing partner.” He emphasizes that a competent billing company, like Gobi, acts as a comprehensive solution—understanding the nuances of physical therapy billing, providing accurate data analytics, and serving as a bridge between billing and financial management. “It’s not just a corporate that would submit your claims; it would give you a 360 solution,” he claims.

Neil supports this view with his experience, stating that the complexity of billing requires specialized knowledge that many practices lack internally. He recounts his journey in having to expand his billing team to manage cash flow appropriately for a growing practice. “It took two people full-time to really get caught up and then stay on top of things,” he shares, underscoring the need for a streamlined and expert approach.

Innovative Solutions for Patient Engagement and Front Desk Management

They discuss innovative practices that can simplify operations, notably moving away from traditional front desk roles and rethinking patient engagement strategies. Motaz suggests that practices should evolve beyond the conventional front desk position to rather implement patient engagement specialists or care coordinators.

“I think physical therapy should move beyond the era of having a front desk altogether,” he asserts. By centralizing patient engagement and billing operations, practices can improve efficiency while simultaneously enhancing the patient experience. “We did saving around 14% over our OR payroll by centralizing processes,” says Motaz, highlighting significant cost savings.

Additionally, Motaz points out the value of incorporating AI tools in improving efficiency, suggesting that practices should capitalize on technology to streamline administrative tasks related to billing and patient engagement. “We use AI to confirm appointments and manage repetitive tasks. The least friction you could possibly have from a patient experience perspective, the better it is,” he notes.
